This is why it's a best practice to avoid sending personal or confidential information like account numbers, passwords, or legal documents whenever you can.

But what if you can't avoid it? Maybe you have to send a tax document to your accountant or a private note to a colleague. For moments like these, Gmail offers a fantastic tool called Confidential Mode. It's like sending an email that comes with its own self-destruct button and a security guard.

Confidential Mode gives you some much-needed peace of mind by putting you back in control of your messages, even after you hit "send."

How Confidential Mode Makes Your Email Safer

Confidential Mode is designed to make your emails much more private and secure. Here’s what it does for you:

• Expiration Dates: You can set a time limit for your message—one day, one week, one month, or even up to five years. After the time is up, the message automatically disappears from the recipient's inbox.
• No Forwarding or Downloading: The recipient cannot forward, copy, print, or download the contents of the email or any attachments. This is a huge benefit for preventing your sensitive information from being shared unintentionally.
• SMS Passcode: For an extra layer of security, you can require an SMS passcode. The recipient will get a unique code on their phone that they have to enter to open the email. This is a great way to ensure the message is only seen by the intended person.

Ready to Send a Secure Message? Here’s How!

Using Confidential Mode is simple, and it's a habit you should adopt whenever you're sending sensitive data.

1. Compose Your Email: Open Gmail and start composing your message as you normally would.
2. Find the Confidential Mode Icon: Look for the icon in the bottom row of the toolbar. It looks like a clock face with a padlock. Click it.
3. Set Your Options: A new window will pop up. From here, you can choose two things:
   1. Set an expiration date: Select how long you want the message to be available.
   1. Choose a passcode option: You can choose "No SMS passcode" or "SMS passcode." If you choose the latter, you’ll be asked to enter the recipient's phone number.
4. Send Your Email! Once you’ve set your security options, click "Save." Now, you can hit "Send."

When the recipient receives the email, they won't see the message body right away. They'll see a notice that the message was sent in Confidential Mode and a button to view it. If you chose the SMS passcode option, they’ll be prompted to enter a code sent to their phone before they can access the message.

Using Confidential Mode is a simple, proactive step that can save you a lot of trouble. It's a great tool for those times when sending sensitive information over email is unavoidable. It provides a crucial layer of security that gives you peace of mind.
